Job Description

Responsibilities:

  •  Provision, equipment, repair and renewal of the office, organization of work of the cleaning service and maintenance of office premises, furniture and equipment.
  •  Control and procurement of office supplies and other support, repair and renovation of the office, inventory.
  •  Control of the flow and stocks of water, drinks, office and stationery, medicines, etc.
  •  Interaction with landlords and contractors, the conclusion and monitoring of contracts with suppliers of goods and services.
  •  Office and equipment insurance.
  •  Organization of maintenance, repair and insurance of office cars.
  •  Office security related issues
  •  Business trips for employees: booking tickets, hotels, payment.
  •  Support for foreign employees, solving organizational issues.
  •  Registration of incoming correspondence, control of receipt of documents, work with archival companies and courier services, scanning, accounting and storage of contract documents of the department.
  •  Control of payments to contractors, preparation of documents for payment, control of tariffs, balance of mobile communications, balance of fuel cards, etc.
  •  Registration of internal and external documentation, entering information into databases, registration and extension of membership in associations.
  •  Reception of visitors, tea and coffee, phone calls, organization of parking, taxi, organization of work of drivers.

Requirements:

  • Fluent english
  • Japanese language (optional)
  • Experience from 2 years as office-manager\secretary
