Assistant to the Chief Executive Officer with the function of office manager (fluent English)

Job Description

 

Duties

  • Planning the working day, keeping a calendar of meetings and events
  • Organisation of meetings, meetings and negotiations, conference calls
  • Preparation of minutes of meetings and meetings with the manager;
  • Organisation of control over the implementation of decisions taken and orders issued;
  • Execution of translations;
  • Collection of information and preparation of analytical reports (including in presentation format);
  • Ensuring travel support, including visa support for foreign guests;
  • Travel arrangements for employees: booking air and railway tickets, hotels, taxis, flight check-in if necessary;
  • Records management, mail processing;
  • Pass arrangement, meeting of guests (tea/coffee);
  • Execution of personal instructions from the manager;
  • Providing for the vital functions of the office;
  • Reception/distribution of incoming calls.

 

Requirements 

  • English - a mandatory requirement
  • Experience as a professional assistant, assistant in a foreign company from 2 years;
  • Experienced PC user, MS Office;
  • Stress-resistance, Literate speech, communication skills, multitasking;
  • Preparedness for an irregular working day and support 24/7
