Parts Logistic Specialist

Job Description


  1. Importation & logistic coordination
    1. Coordinate with vendor, import/export agent and logistic supplier to track parts shipment status;
    2. Provide parts information or related paperwork to import agent for Customs clearance;
    3. Application and monitor of import licenses such as AIP and CCC;
    4. Updating and maintenance import relevant documents and parts data;
    5. Prompt Handling and effective solving problems during clearance and Commodity inspection;
    6. Parts purchase variance and inventory adjustment report;
    7. Damage parts write-off report and scrapping arrangement;
    8. Managing exchange return parts from dealers and arrange scrapping for return parts;
    9. Monitor and support parts scrapping on site;
    10. Parts purchase invoice reviewing and payment to vendors;
    11. Warehouse stock take arrangement and report;
    12. Support to dealers on parts logistic side;
    13. Generation of monthly logistic report on parts purchase lead-time report and on time delivery report;
    14. Generation of monthly transportation report and logistic cost analysis, warehouse KPI report and management report logistic section;
    15. Support other departments on importation or logistics
  2.  Parts supply chain management & optimization
    1. Analysis import agent KPI report to improve Customs clearance procedure;
    2. Analysis of supplier operation error to reduce parts discrepancy and damage;
    3. Warehouse space utilization, storing structure, operation procedure and housekeeping monitor;
    4. Improvement of Parts shipment package such as IPPC pallet or fragile parts package;
    5. Regular clear for obsolete parts, expired parts or other special requirements;
    6. Analysis of Parts purchase leadtime and on time delivery report to reduce parts delivery leadtime and improve delivery quality;
    7. Analysis of parts logistic survey dealer feedback to improvement parts delivery to requirement
    8. Optimize current distribution route and make proposal of new route for incoming dealers
  3. Parts internal process establishment
    1. Study on parts department internal process, establishment of standard process structure;
    2. Generation and update of parts process guideline documents;
    3. Support on archiving of internal process;
    4. File documents of daily operation and application for auditing issues
  4. Logistic suppliers management
    1. Establishment of KPI report system for suppliers;
    2. Enable and develop suppliers for their proper operation;
    3. Monitor performance of suppliers and feedback improvement measures;
    4. Regular visit pr meeting with suppliers for trouble-shooting and procedure improvement;
    5. Logistic service charges review and payment to suppliers;
    6. Logistic service contract review and extension
  5. Legal Compliance to logistic issues
    1. Ensuring legal operation and qualification to import/export shipments;
    2. Quotation and record in advance to Purchasing department for logistic payment adjustment or any other logistic relevant expense.
  6. Parts logistic Project Support
    1. Parts logistic strategy support;
    2. Parts logistic project support such as supplier selection, system update and change


- Comprehensive automotive logistics industry knowledge is essential, logistic knowledge in trading/heavy industry/FMCG/retail is also preferred  

- Strong automotive after sales knowledge with good customer service skills

- Bachelor degree or above, degree in logistics management is preferred

- Fluent oral and written English

-Minimum 3 years experiences in leading logistics firms

-Good SAP system knowledge

-Good knowledge in MS office, including word, excel (very important) and PowerPoint

-Proficient knowledge in international trade and logistics is essential

Purpose of Job Function:

The position is responsible for supporting the whole department to provide parts logistic information or support to the whole team,  shorten parts delivery lead time, improve parts delivery quality, reduce parts logistic cost and customer complaint.
