Planning • In collaboration with legal and surveying teams assist with the following: • Assist surveyor with Title and Survey completion. Assist with the preparation of JOP Declaration and Building Management Statement and lodgment at Lands Department • Advise on shared arrangements in the buildings, including identifying the Common Elements (BMG - Building Management Group) and Common Property (Owners Association) Portfolio Management • Make site visits to all buildings in your portfolio as required. • Conduct meetings of the executive committees of buildings in your portfolio as required. • Liaise with Facilities Management to ensure all essential services for your portfolio are up to date. • Ensure all agenda items requiring action are completed in a timely and efficient manner. • Ensure all matters relating to the management of buildings within your portfolio are handed over in detail, to the OA Assistant Manager/Executives. • Effectively manage multiple teams consisting of OA Assistant Managers and OA executives. • Establishing and maintaining a roll of lots and contacts information • Establishing and maintaining a roll of Unit Entitlement Communication/Correspondence • All RERA and Land Department documentation pertaining to the development • Issue notices, agendas, minutes and other correspondence as required. • Responding to all communication and correspondence from residents and Owners • Understanding of correspondences related to OA issues, either external or internal. • Ensure that the minutes are taken for each meeting of the Association. • Ensure that the minutes of the meeting are typed and adhere to group policy and procedure. • Approve (and proof read) the final copy of the minutes before they are distributed to the owners. • Oversee the distribution of correspondence as required. • Receive all phone calls and written correspondence relating to the management of buildings within your portfolio. Financial Management • Liaise with Company’s Finance department to ensure you are up to date with the financial transactions for the buildings within your portfolio. • Ensure compliance of statutory requirement by Finance department regarding escrow account and status for general and capital reserve fund • Review and follow up all levy arrears due each month. • Prepare and review financial statements prior to each meeting. • Preparation, approval and management of each Building Budget. Insurance • Prepare and facilitate the lodgment of routine insurance claims and arrange insurance valuations as required from time to time for fee agreed by the Owners Association Board • Obtain quotes for insurance renewal and recommendations including follow up with Insurance companies Asset Management Services • Conduct asset condition survey and summary of defects from time to time • Provide asset list and audit in a timely manner, including surveys and inspections • Regularly report incidents and damages arising there from including maintenance issues • Obtain quotes from time to time for maintenance work and process approvals to facilitate implementation of rectification work Facility and Maintenance Supervision Services • Overview of all technical equipment pertaining to the OA (including plant operational status, manuals, positioning, lifecycle etc) and all contractual arrangements related there to. • In particular, physical identification of available information (i.e. EDB log book in-situ, asset registers, planned preventative maintenance schedules and logs, fire panel status, cleanliness of plant rooms etc) and other indicators of good/poor maintenance. Determine need for predictive chiller tests.
