Job Description
Office Coordinator responsabilities:
- Be the first point of contact for HQ, liaising with building management and suppliers, managing the day to day running of the office.
- General office administration such as answering phone calls, incoming emails, booking couriers, sorting post, greeting visitors, ordering stationery and tea/coffee/milk.
- Coordinate onboarding for new starters including carrying out all required pre-employment checks and new starter HR paperwork. Leaver process including exit interviews.
- Support with any HR administration – amending contracts, company healthcare, pension.
- Track attendance for HQ staff including days worked from home, absence and annual leave. Monitor and track annual leave allowances.
- Organise annual company conference abroad and social events for head office including Christmas party and team building events.
- Ensure appropriate health and safety practice is in place. Action any outstanding tasks from H&S site visits.
- Create Purchase Orders (POs) for payments and liaise with Accounts team to complete company card expenses and have accurate records of outgoing payments.
- Admin support for Networks franchising division including invoicing and processing card payments for email licensing project and ordering business cards for new owners.
Personal Assistant responsibilities:
- Diary management & international travel arrangements – booking flights, hotels, obtaining visas and researching relevant COVID-19 travel measures.
- Scheduling meetings for Directors and organising companywide Teams meetings across multiple time zones.
- Liaising with stakeholders at all levels of the business from senior Managing Directors to junior new starters.
- Assist CFO/COO with completion and filing of relevant business and legal documents, contacting solicitors for notary services.
- Create presentations and proofread content for speaking events.
- Company card expenses.
- Organise football season tickets.
- Update personal database of contacts.
- Personal family support for CEO including arranging personal calls and meetings, home and car insurances, payment of personal bills, and supporting organisation of family holidays.
- Make donations on behalf of Antal Charitable Foundation. Set up fundraising pages and create social media posts to raise money when CEO runs for charity.
We are looking for:

- Strong communication skills and ability to perform duties with discretion and confidentiality
- Proactive problem solver, confidence to take initiative and work independently
- Experience managing multiple stakeholders across different levels of the business
- Minimum 2 years’ experience working in an administration role in an office environment
- Intermediate/Advanced Microsoft Office including Word, Excel, PowerPoint, Teams and Outloo
This position includes:
- 20 days annual leave (increasing by 1 day with every completed year of service to max 25 days) + 8 bank holidays
