Day-to-day controlling of inbound and outbound processes in accordance with the business procedures and polices

Trace the 3PL Providers’ performance to ensure it’s being in line with the Company’s business requirements, forecasts and KPIs
-
Monitor incoming goods on daily basis
-
Make sure that all arrived goods are accepted in the stock and correctly posted in both Company’s and 3PL Warehouse systems
-
Collaborate with Soest DC, Import, Demand Planning and other local and regional functions in order to effectively solve issues related to inbound delays
-
Liaise with the third party (agency) and other relevant departments of the Company to ensure that the 3PL Warehouse has legal data required for proper labelling of the goods
-
Process customer orders (respective delivery notes) to the 3PL Warehouse according to fixed shipment/delivery schedules and business process deadlines
-
Manage data exchange between the Company’s system (SAP ERP) and the 3PL Warehouse data base system
-
Make sure that all system confirmations are came into SAP ERP from the 3PL Warehouse system and aligned with physical ones

Resolve any issues appear within picking, shipping, delivery or/and goods acceptance processes
-
Deal with the Transportation companies to ensure that all vehicles scheduled for loading are arriving on time
-
Validate transport reports from Forwarders

Upload goods acceptance data to SAP ERP providing an accurate data to Accounting and Finance teams for necessary financial adjustments and Sales recognitions

Support month end In/Out processes in line with the Company’s Cut-off business procedure

Liaise effectively with Sales, Customer Service, Claims, Accounting and other relevant functions of the Company to ensure that customers’ delivery requirements and deadlines are met

Perform Stock reconciliation process with the 3PL Warehouse to ensure accurate on-hand inventory data
-
Process necessary stock adjustments
-
Manage refusals of orders
-
Run process of goods disposal and obtain all approvals required
-
Make sure that physical/system goods movements initiated by internal or/and Global requests made correctly and allocated in the appropriate stock type
-
Conduct Annual Stock count (semi-annual counts if required) in line with policies and Year End closure schedule
-
Take part in logistics services tenders being an active member of the process
-
Maintain contracts with the 3PL Providers in accordance with the Company’s requirements and changing market conditions
-
Ensure that policies and business procedures are followed by the 3PL Providers
-
Calculate transportation costs and assess profitability for new customers (sold-to) and new points of delivery (ship-to)
-
Check and proceed Invoices from the 3PL Providers on time
-
Track expenditure vs budget for the relevant parts of the 3PL Providers’ budget to ensure operations on a cost-effective basis

On timely manner create/change SAP Purchase Requisitions within defined budgets for warehousing and transport services provided by the 3PL

Create standard and ad hoc reports

Review Customers’ contracts in Logistics part

Attend meetings with Key Customers and Vendors (when needed)

Take part in projects initiated by Logistics function of the Company
-
Ensure logistics processes are optimized and best practice followed

Handle complex logistics issues and report to the line Manager any topic that could have a commercial impact

Ensure that all activities are carried out in line with Company’s business process procedures, policies and SOX protocols; participate in SOX control assessments

Initiate quarterly conversations with the line Manager to discuss own performance, development and achievements in line with the Company’s HR Policy and guidelines in place
-
Ensure that any supplier complies fully with policies and that their business is conducted in a professional, competent and honorable way
-
University degree
-
At least 1-2 years’ successful practical experience in similar position of warehousing and transport logistics (FMCG preferably)
-
Excellent communication skills combined with problem solving
-
Strong analytical skills applied to business and fiscal data
-
Good knowledge of legislation in Logistics and common warehousing and logistics practice incl. EU principals
-
Comfortable working with individuals with different languages and cultures
-
Ability to build strong relationships (internal and external)
-
Effective decision maker, sound judgment, proactive and agile
-
Good Team player with willingness to assist all management levels in both commercial and financial functions
-
Advanced Excel User
-
Experience with working in SAP ERP and apps (e.g. BI)
-
Russian (fluent) and English (upper-intermediate)
