Job Description:

Key Responsibilities:
- Administrative Excellence: Provide comprehensive support to senior public and digital policy executives, ensuring seamless day-to-day operations.
- Complex Scheduling: Manage intricate calendars, coordinating both internal and external engagements, including international and domestic travel arrangements.
- High-Level Meeting Management: Efficiently organize and manage internal and external meetings, ensuring all details are meticulously handled.
- Confidentiality and Data Protection: Handle sensitive information with utmost discretion and integrity.
- Event Planning Expertise: Coordinate large-scale events, including offsites, catering, accommodations, and educational materials.
- Team Space Management: Oversee team workspace, including reconfiguration and relocation processes.
- Team Engagement: Drive team activities, from meeting agendas to team-building events, fostering a positive and productive work environment.
- Strategic Coordination: Work closely with business and policy leaders, aiding in the planning and execution of significant meetings and events.
- Project Management: Track and drive key projects to completion, demonstrating exceptional organizational skills.
- Communication Skills: Compile and edit UK written materials, engaging effectively with both internal and external stakeholders.
- Financial Acumen: Manage budget, contracts, and expense processing with precision and attention to detail.
- Global Collaboration: Partner with fellow executive assistants, both locally and internationally, to achieve common goals.
Basic Qualifications:
- Minimum of 5 years' experience in senior-level executive support.
- Proficiency in English (primary working language).
Preferred Qualifications:
- Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint).
- Additional EU language proficiency.
- Strong business insight with a knack for identifying and addressing gaps.
- Proven experience in event planning.
- Ability to adapt quickly and maintain composure under pressure.
- Experience in a UK and/or international matrixed organization.
- Background in government or policy stakeholder engagement.
- Familiarity with working across different countries and time zones within a global setting.
- High level of integrity and discretion in handling confidential information.
Top 3 Responsibilities:
- In-depth Calendaring and Scheduling: Handle complex scheduling requirements, including travel arrangements.
- Budget and Contract Management: Oversee financial aspects, including budgeting, contracts, and expense processing.
- Event Logistics Management: Coordinate extensive event logistics, covering offsites, catering, accommodations, and material preparation.
