Job Purpose
The Executive Assistant to the CEO will provide high-level administrative support to the Chief Executive Officer to ensure the smooth operation of the executive office and assist in managing critical tasks, communications, and projects.
Responsibilities:
Calendar Management:
- Maintain and manage the CEO's calendar, scheduling meetings, appointments, and events.
- Coordinate internal and external meetings, ensuring all necessary materials are prepared in advance.
Communication Management:
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Draft and proofread emails, reports, and other documents on behalf of the CEO.
- Handle incoming calls and correspondence, prioritizing and responding as appropriate.
Travel Arrangements:
- Arrange complex travel itineraries, accommodations, and logistics for the CEO's domestic and international trips.
Meeting Support:
- Prepare agendas, presentations, and briefing materials for executive meetings.
- Attend meetings with the CEO, take notes, and follow up on action items.
Document Management:
- Organize and maintain digital and physical files, records, and documents.
- Ensure confidentiality and security of sensitive information.
Project Assistance:
- Assist the CEO in tracking and managing key projects, including research and data analysis.
- Collaborate with other departments to facilitate cross-functional initiatives.
Expense Management:
- Manage and reconcile expense reports, ensuring compliance with company policies.
Board and Committee Support:
- Assist in preparing materials for board meetings and committees as needed.
Qualifications:
- Completion of a Bachelor’s degree; Master’s in Business Administration or relevant discipline.
- Proven experience (3-5 years) as an Executive Assistant or in a similar role supporting senior executives, preferably in the banking or financial industry.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication skills.
- Proficiency in MS Office Suite and office management software.
- Ability to maintain discretion and handle confidential information.
- Excellent problem-solving and decision-making abilities.
- Flexibility to adapt to changing priorities and work independently.
- Strong attention to detail and a high level of professionalism.
