Our client is a reputed Foundation running Colleges Schools Hospitals etc in AP & Telangana and is looking for a Head of HR to based at Rajam near Hyderabad.
Education - M.B.A - HR /MHRM/Post Graduate Diploma in Human Resource Management
Relevant and total years of Experience - 14 -18 years of HR experience, including 5 years in Education and/ or Hospital Industry
Key Accountabilities
Manpower Planning:
a) Coordinate and lead the discussions with all the Head of Units – Medical Director, Principal, Vice Principal, Principals of Degree, Intermediate and B.Ed. College to prepare the Annual Manpower Requirement in view of the Business Requirements.
b) To keep the faculty recruitment intact with the ratio defined in the regulations of AICTE /UGC.
c) Accordingly make provisions in AOP and prepare the Annual Staffing plan
Talent Acquisition and Onboarding:
a) Based upon the Annul Staffing plan continuously analyze and strengthen the various sources of profile scouting like recruitment agencies, ex – servicemen placement agencies social network, advertisements, field survey and networking.
b) Visit renowned Hospitals, Nursing Homes and Medical Practioners around Srikakulum, Vizianagram and Vizag District to create a pipeline of Clinical Consultants in various Specialties and Super Specialties for the Hospital.
c) Conduct campus drives at Premier Institutions like NITs and IITs for recruitment of faculty members.
d) To scout and recruit Research Oriented Professors/Associate Professors and Assistant Professors from other states to bring in a culture of diversity and research orientation
e) To supervise the recruitment of qualified, experience and competent Para Medical and Administrative Staff as per the AOP provisions.
f) Supervise the complete interview process from shortlisting of profiles to issue of offer letters .To tap subject experts both in Education from other Universities and Hospital to be a part of the Selection Panel.
g) Do the salary negotiations with the selected candidates and issue the offer letters.
h) To ensure the ratification of the selected faculty members with the affiliated University and Clinical Consultants registration with the AP Medical Council.
i) Supervise the timely completion of the background verification and medical checkup of the candidates and ensure clearance before their joining.
j) To supervise the complete joining formalities for smooth induction of the new joiner in to the Organization.
k) To conduct the Induction Program for all the new joiners and make them aware with the Organizational People, Policies and Practices.
Performance Management:
a) To drive the creation of Goal Sheets of all the Head of Units and Head of the Departments in discussion with CEO and Head of Units respectively.
b) To drive the quarterly and mid-year review of goal sheets of the Associate Deans and Head of the Departments and record updates for inputs into annual assessment.
c) To conduct roadshows for all staff members of PMS Philosophy and Process before the initiation of the PMS Cycle.
d) To coordinate the complete cycle of PMS through constant coaching guidance to staff members to do their self-appraisal and also appraisers for rational evaluation.
e) To create PMS Assessment forms for all staff members and collate the same after appraisers’ remarks as the complete process is offline.
f) To prepare the PMS working sheets and present the final PMS deck to CEO, PHR and BCM for approval.
g) Issue of increment letters to all the staff members after ensuring clearance from auditors.
h) Declaring the opening of the PMP Grievance Redressal Window and conducting counselling sessions for the all the staff members who have raised their grievance.
i) Conduct the Grievance Redressal Committee Meeting and review the case of each staff member.
j) Present the recommendations of the Grievance Redressal Committee to the CEO for final approval and subsequently communicating staff members the decision of the committee.
k) To ensure transparency and rational in the process of assessment by continuous interactions with Head of Departments.
l) To update the assessment policy and methodology to upgrade the performance indicators for the wide variety of staff members from Clinical Consultants, Professors to office assistants and secretarial staff members every year.
m) To monitor and coordinate the Teaching Appraisals on a monthly basis based upon the various parameters of teaching, administration and research outputs.
Employee Engagement :
a) To Plan, Organize and Conduct Employee Engagement activities across all the Units.
b) Conduct Annual Staff sports, Monthly Birthday Celebrations, Teachers' Day, Doctors Day and many other programs in the Hospital as well as Educational Units for encouraging staff members.
c) Organizing Cultural Activities and Social gathering enhancing the Social Life of campus and Residential Quarters.
d) Encourage participation of staff members in community services activities in line with the mission of CSW.
e) Organize PMP sensitization sessions for all categories of Staff members in Hospital and all the Educational Institutions.
f) Organize sessions on Statutory Benefits for all the staff and call upon higher officials like EPF Commissioners etc. to deliver awareness sessions.
Policy Formulation and Implementation:
a) To continuously assess the Policy Manuals and upgrade them in line with the changing business environment.
b) To drive the conduct of the LMC (Local Management Committee) for the review of Policies and Practices in all the Units.
c) To create, propose, take approvals and implement new policies which may evolve in view of fostering a better working culture, gaining competitive advantage or any other Business requirement.
d) To ensure the adherence to the HR policy manuals in all the Business units through close monitoring and auditing.
e) To process necessary disciplinary actions in cases of Policy violations and take actions in line with the Code of Conduct
Training and Development :
a) To ensure proper and specific inputs from Appraisers and reviewers on behavioral and technical areas of development during PMP.
b) To ensure documentation for specific training requirement of each staff member by the Supervisor.
c) To consolidate and create the complete training plan and calendar of Training Programs for all the Business Units.
d) To plan in-house as well as external resource person for conducting the various training programs keeping in view the AOP provisions.
e) To coordinate effective conduct of all the training programs across all the various kinds of staff members through proper feedback mechanism.
f) To screen and process all the requests by Clinical Consultants and Faculty members for attending Conferences and Workshops to ensure that they will be truly benefited through the participation.
g) Encourage Faculty members to present papers in National and International Conferences rather than merely participating.
h) To conduct continuous training programs of Communication Skills and Customer Focus in the hospital for enhancing the Service Quality.
i) To coordinate and conduct Faculty development programs which would benefit in enhancing the Research Orientation and Teaching Delivery of the faculty members.
j) To prepare the roadmap for Leadership Development programs for the existing as well as second in line leaders for all the Business Units and implement
HR Operations :
a) Attendance Monitoring: To analyze the daily Biometrics Attendance consolidated sheet and take remedial actions in case of major deviations on a daily basis.
b) Leave Administration: To keep track of the leave application patterns to ensure smooth functioning of the departments and running of operations .In case of variances, counsel Head of the Departments for necessary checks to be carried out.
c) MIS: Present the HR MIS for Education and Hospital Wing as inputs to the consolidated Business MIS, Periodic Reviews and for any further purpose of analysis and interpretations.
d) Payroll Administration: Complete Administration of the Payroll processing of all institutions within the span of control by ensuring timelines and verifying inputs like salary computation, statutory deductions , incentive payments and other deductions and perquisites. Statutory payments of all the employees of the Company
e) Monitoring Outsource Employees: Complete supervision of the attendance, salary and statutory payment within defined timelines by the vendors for the outsourced staff members.
f) Employee Separations: To ensure policy adherences in Employee Separation cases and prepare the full and final settlement.
g) Legal Cases: Attending to all the ongoing legal/labor disputes in the court as well as Labour Offices.
h) Employee Welfare: To supervise all the employee welfare and benefits activities and consistently educate staff members to avail those benefits in adherence with the laid down policies.
i) HR Documentation and Records: To verify all the HR related documents being processed within and outside the organization and ensure proper documentation and upkeep of the records for effective retrieval.
Other Activities :
a) HR AOP Preparation: To interact with respective HODs of all the Units of Education and Hospital Wing for getting the manpower requisitions and deliberating the same with Heads of the Wings to finalize the Manpower Requirement to be factored in AOP. To evaluate all the HR activities and prepare the HR AOP.
b) LMC: Be a part of the LMC (Local Management Committee) of Education and Hospital Wing to discuss on the various strategic and operational issues like Admissions, Business Development, New Initiatives, Students Placement, Policy Formulations etc. Propose various course of action as deemed fit for the betterment of the institutions. Present the minutes of the LMC to higher authorities.
c) Statutory Inspections: To coordinate and furnish all the HR related information for the various inspection conducted by AICTE, AFRC, NAAC, NBA etc. To interact with the Inspection teams in case of any queries and provide necessary explanations.
d) Faculty Ratification: As per the University Schedule supervise the complete documentation and communication regarding Faculty ratification at JNTUK. Major work is with HR department as the complete hard copy data of the Service qualifications, research output etc. of all the faculty has to be consolidated into individual files and submitted to the University.
e) Best Practice Mapping: To regularly visit various Educational Institutions/ universities and Hospitals to understand their best practices as well as to network with potential people. To bring in to table such practices to our institutions and check for suitability of implementation.
f) Business Excellence: Drive the Business Excellence initiatives for the Education and Hospital Wing. Supervise the action plan and implementation of the CIP s by the different groups. Follow up and ensure proper direction to all the teams.
g) Social Life on Campus: To ensure quality life on Campus especially for those staying in residential quarters. Spearhead the Staff Quarters Committee to bring in systems in place. Lead teams to organize various events for the residential staff.
