Job Purpose
Manage all Bank's procurements, facilities management, premises, properties and services to the agreed service level agreements to achieve the corporate image and new standard set to realize corporate vision.
Dimensions
Responsible for complete Property and Facility Management services including assisting in the following:
the identification of new premises, renovations of properties, analysis and negotiations of contracts, tenancy agreement renewals, project execution, project monitoring, property usage advise, sale of the Banks properties, handling statutory requirements and legal matters relating to properties and facilities management.
Knowledge, Skills & Experience Required
Experience
- Minimum of 7 years’ experience working in a Bank’s Properties and Facilities Management or Corporate Services Department.

- Good understanding of Projects, Facilities and Supply Chain Management.
- Service delivery including the development, negotiation and management of service level agreements
- Previous experience in working with a team preferably over split location.

- Strategic approach required to develop solutions to operational deficiencies and reviewing operations procedures.
- Jobholder required to exercise own judgement and ensure recommendations are appropriate and consistent with bank policies and business objectives.
- Security issues are sensitive in nature and the jobholder needs to be analytical and decisive to avert disasters in crisis situations.
- The role requires the development, negotiation and management of service level agreements in a fast-paced environment.
- The role holder will be required to maintain an accurate assessment of the value and condition of Bank's assets, which will require a degree of assessment and analysis.
Key Result Areas
Services
- Manage the effective and efficient running of the assets and Facilities of the Bank
- Ensure that the database of vendors and all their requirements is promptly updated to facilitate competitive bidding where necessary
- Oversee and coordinate all minor refurbishment and renovation works at various branches. Check and raise invoices for services/works carried out by the external organizations.
- Develop and maintain relationship with all contractors and vendors and supervise contractor works to ensure efficient and proper execution all works to facilitate smooth business operations.
- Ensure an effective security system within the Bank’s facilities in conjunction with security control unit.
- To ensure that both preventive and corrective maintenance schedules are adhered to strictly in accordance with the Bank’s properties and facilities manual.
- Co-ordinate the relocation/movement of staff between departments, branches and operational centres.
- To work with the Operations Co-coordinator to ensure that Health and Safety records are highly maintained.
- Writing of Proposals/Letters, administering contracts and their executions as well as contract renewals
- Ensure that there is a comprehensive and up to date record of the bank’s assets in the respective properties and that there is a detailed inventory of the same.
- To maintain accurate records of all asset and building maintenance issues

- Safeguard the bank’s information assets in accordance with its ISMS policies and procedures
Compliance Responsibilities
- Ensure prompt and adequate compliance responses to Sanctions and AML/CFT enquiries sent in by Compliance Department
- Take part in all annual mandatory refresher training organised by Compliance
- Report all suspicious or fraudulent activities to Compliance or via whistle-blowing toll free line
