Main Responsibilities
Administrative Duties:
- Provide comprehensive legal administrative assistance to Solicitors and other fee earners, including audio and copy typing of documents, letters, memos, and invoices.
- Open and archive files following standard procedures.
- Undertake scanning and copying tasks as required.
- Collaborate with the facilities team to log and request Wills/Deeds/Documents from offsite storage.
- Serve as the first point of contact for client queries, handling telephone calls and forwarding queries as necessary.
- Receive, open, scan, and distribute all incoming mail each morning.
- Frank and label all outgoing mail each afternoon.
- Manage office stationery supplies.
- Cover the reception desk, welcoming visitors.
- Make tea/coffee for guests and clear away afterward.
- Arrange meetings, book rooms, and organize refreshments/catering.
- Ensure the kitchen area is clean and well-stocked with supplies.
- Previous experience in an administrative role is essential.
- Excellent interpersonal skills—polite, personable, and articulate.
- Outstanding verbal and written communication skills.
- Ability to work both independently and as part of a team.
- Strong organizational skills and the ability to prioritize tasks.
- Ability to perform well under pressure during busy periods.
- Competent IT skills.
- Proficient in audio and/or copy typing.
- Friendly and approachable nature with an enthusiastic approach to the job.
