The Office Assistant will work within a busy office supporting the Executive PA / Office Manager in maintaining and monitoring the office space to ensure a professional proactive service. You will ensure all Communal areas are cared for and inspected according to health and safety standards and assist in the day-to-day operation of the office.
The Office Assistant will monitor the meeting room schedule, ensuring the rooms and spaces are clean and replenished ready for use. You will ensure the highest standards of employee engagements across the whole business liaising with all departments.
Key Responsibilities:
- Responsible for keeping all areas of the offices neat and orderly and floors free of slip and trip hazards
- Ensuring rooms are ready for scheduled meetings, removing all cups and glasses and replenishing accordingly
- Ensure the kitchen area is clear of clutter, utilising the dishwasher facilities and monitoring stock rotation of the fridges
- Maintain the coffee machine levels throughout the day making sure milk and coffee beans are at the appropriate levels
- Clean the coffee machines daily and once weekly
- Monitor and replenish kitchen supplies, i.e., coffee machine ingredients, tea, coffee, sugar, dishwasher tablets, kitchen roll etc.
- Collect, receipt, and deliver incoming parcels
- Monitor and manage inventory of office supplies
- Liaise with milk and water supplier to ensure there is an adequate supply of milk and water through all periods
- Reporting and monitoring of breakages and repairs
- Maintain and replenish all internal sanitiser units, ensure all desks have adequate antibacterial wipes to clean down own desk space and additional sanitiser is readily available as requested
- Assist in organising special events, liaising with outside agencies
- Take ownership of booking weekly travel for staff as requested
- Maintain signage and staff instructions for the office are updated and correctly placed
- Responsible for Adhoc administration requests from staff including scanning/printing/binding/ and PowerPoint creation
- Provide all new starters with a fire safety tour and ensure they have appropriate desk space for their first day
- Reconcile office expenses with Credit card report to submit to accounts
- Send weekly reminders for all London Staff regarding booking into the office
- Ensure all plants around the office are watered accordingly
- Additional responsibilities include cover for Executive PA when on Holiday supporting the Executive team
Specialist Skills and Experience Required:
- Proven experience in an administration-based role in an office environment
- Proven ability to work proactively
- Computer literate with experience working with Outlook, Word, Excel and PowerPoint
- Excellent written and verbal communication skills with a confident telephone manner
- Flexibility and willingness to expand work role
