Location:- Office-based in Central London
- Develop and implement policies and procedures that align with business goals.
- Lead continuous improvement initiatives to optimize workflows.
- Ensure office and retail sites are safe, compliant, and well-maintained.
- Manage vendor relationships and coordinate maintenance services.
- Safeguard the security of physical and digital assets.
- Supervise daily operations, including office supplies, workspace, and contracts management.
- Maintain the HubSpot CRM, ensuring records and workflows are accurate and up-to-date.
- Mentor and manage a team of three Admin Assistants, fostering high performance.
- Monitor and control operational budgets and expenses with the finance team.
- Oversee invoicing, VAT returns, and financial reporting.
- Coordinate logistics and stock management with suppliers and warehouses.
- Conduct regular stock audits to maintain accurate inventory levels.
- Lead, engage, and develop the team to maintain a collaborative and productive environment.
- Work closely with department heads to address operational needs.
- Act as the primary point of contact for operational procedures.
- Communicate clearly with internal teams and external stakeholders.
- Identify challenges and implement sustainable solutions promptly.
- 8+ years of office management experience within fast-paced environments.
- Proven ability to manage multiple sites and mentor teams.
- Extensive CRM experience, ideally with HubSpot.
- Strong financial management skills (budgets, VAT, and reporting).
- Excellent communication, multitasking, and organizational skills.
- Proficiency with Microsoft Office Suite, Excel, and financial software (Xero, QuickBooks).
- A proactive, adaptable, and collaborative leader who thrives under pressure.
- Salary: £55,000 - £65,000 (DOE)
- Hours: 10:00-6:00 Monday to Thursday, 10:00-4:00 on Friday (early finish!)
- Annual Leave: 21 days + bank holidays
- Hybrid: Office-based role
- Equipment: Company laptop provided
- Team: Lead a team of 4 (yourself and 3 Admin Assistants)
