Our client one of the prominent government holding company is looking for a Office / Business support manager - Abu Dhabi - Arabic Speaking only. To expedite share CV - [email protected]
Responsibility:
- Coordinate with all departments to collect and place orders for office supplies and follow-up on corresponding provision of these supplies with Procurement
- Support in the optimal allocation of office space for employees at all times, including handling booking requests for meeting and conference rooms based on the purpose of meetings, room capacities, etc.
- Develop daily schedules for vehicles based on the requirements of all employees in the most efficient, and cost-effective way possible
- Conduct routine checks and ensure regular preventative and corrective maintenance on vehicles in the corporate fleet (including cleanliness, mechanical and electrical components, fuel, oil and water levels, etc.) with service providers to make sure that vehicles are well functioning at all times
- Supervise the provision of office-catering services, including refreshments, water and catering services by placing and following up on orders with service providers
- Draft routine memos and communication in adherence with developes templates and guidelines. This includes typing letters, taking and circulating minutes of meetings and other informal and formal correspondence as required
- Print memos, correspondences, reports and other documents and apply proper coding for future reference
- Ensure the proper storage, maintenance, and archiving of all official documents, effectively managing confidential information
- Demonstrate proficiency in using computers, fax, printing, scanning, photocopy machine and other office equipment to suppor documentation requirements
- Record and archive all copies of received or sent mail using the approved classification and indexing mechanisms
- Interact with travel service providers to receive corporate rates on flight and hotel bookings, ensuring alignment with the approved budget and submit for approval to the General Services Manager
- Arrange flight and hotel reservations for key personnel, following up with travel agencies to ensure that reservations are made on time and cost- effectively
- Perform other duties as required by upper management Financial Management
- Ensure full adherence to relevant financial policies and proceduresv applicable to role
Required qualification:
Bachelors degree with minimum 5 years of relevant experience is a must
